The cancellation policy goes into effect upon official confirmation of the tour (or confirmation of rebooking). All cancellations must be made in writing. The timing of cancellations is guided by United States Eastern Time. Our cancellation policy applies when the cancellation of a trip or tour is due to no fault of our own. In other words, Tripsite has made all the required and necessary arrangements and reservations for your trip.

*Please note: Some of the ships/barges used on the Bike & Boat tours and the local tour operators that bring us our different bike tours have a cancellation policy that is different from our cancellation policy. One of the most stringent policies is posted below. Therefore, if you need to cancel a trip, the cancellation policy applied to you may actually be different than below. Upon request, we are more than happy to send the cancellation policy that would be applied to your reservation.

*Cancellation fees are per person as follows:

  • Please be sure to read the notes above!
  • After reservation until 12 months prior to tour date: 20% of tour price
  • between 12 and 6 months prior to tour date: 50% of tour price
  • between 6 and 1 month prior to tour date: 80% of tour price
  • between 1 month and 1 day prior to tour date: 90% of tour price
  • On tour date or later: 100%

Cancellation fees for charters or big groups: Please contact us for the policy specific to your tour/group.

NOTICE: Upon official request of cancellation, the credit card given at the time of reservation will be charged for the amount of the cancellation.

Any cancellation request received after 4 pm on Friday will take effect the following Monday.

Cancellations received by email do not take effect until the following business day and follow the United States Federal Holiday calendar. If your cancellation is received on a United States holiday, it will not go into effect until the next business day.

If deposits were made in a currency that was not the base currency of your tour--say you paid a $300 deposit for a €1000 tour--the deposit will be refunded by converting it back to the deposit currency at that days rate (plus a 1.5 cent transaction cost.) In some cases this will mean you get back slightly less money, in others it may be more. The outcome will depend on the movement of the currency markets.

Credit card processing fees and €20/person administration fees are non-refundable. €100 total administration fee for charters is non refundable.

Changes in Bookings

To ensure a reservation on a tour departing in 65 days or less, full payment is required at time of booking.

Any change made in your reservation once submitted to us (this includes, but is not limited to, cancellations, any change made in names, meals, dates, room selection, any additional night(s) needed or retracted and so on) is subject to a €50-€150 fee per change. The cost associated with changes and/or additions after the final invoice has been issued or within 30 days of the tour date, will be charged to the credit card given during on the reservation form (plus a 4% processing fee).

Above changes must be made 65 days prior to travel date, otherwise, other fees may apply.

Upon confirmation of your reservation, Pack & Pedal Europe, Inc. will email out a travel packet (only one per room/cabin/family) about 3-4 weeks prior to tour departure that includes information on local travel, hotel accommodations, travel insurance and so on. Obtaining travel and cancellation insurance is optional, but provides excellent coverage in case of tour cancellation, accidents, and so forth.

Pack & Pedal Europe, Inc. retains the right to cancel a tour or trip under any circumstances. Should a tour or trip be canceled, then you will be informed of this decision within 30 days (and at the least, 15 days) prior to the departure of your trip or tour. Information regarding any of our trips or tours is subject to change, and we reserve the right to make changes should it become necessary.

Pack & Pedal Europe, Inc. does not own or operate any of the suppliers of services or accommodations for your trip or tour. As a result, Pack & Pedal Europe, Inc. is not responsible for any negligent or willful act or failure to act of any such supplier or of any other third party over whom Pack & Pedal Europe, Inc. has no control. Cancellation by an operator and force majeure

In rare circumstances of natural and unavoidable catastrophes that interrupt the expected course of events, the operators or Tripsite reserve the right to cancel the journey on short notice. No legal right shall be constituted of both situations. You will be issued a full refund for the cost of your tour, however, any credit card processing fees that you incurred will not be refunded and Tripsite reserves the right to a 4% processing fee.
