Terms + Conditions

These terms and conditions are valid for all Tripsite tours and can change at any time. Participants will be bound by the terms and conditions published at the time of confirmation. Participation in any tour will require that you signify that you have read and agree to the information detailed in these terms.

Pack and Pedal Europe Inc. (DBA Tripsite.com) does not operate any tours (unless explicitly mentioned on the tour page) but instead, works with local tour companies to showcase the places they call home.

Each local operator has their own terms and conditions that can be requested at any time. Booking a tour through Tripsite.com signifies your acceptance of the terms and conditions of Tripsite.com and the respective tour operator.

Pack and Pedal Europe Inc. is registered in Pennsylvania, Entity No. # 2894939.

A reservation, accessible by clicking “book this trip” on each tour page, is an official booking request, subject to these terms and conditions. Each booking is subject to availability and is not confirmed until we have emailed an official confirmation. Upon official tour confirmation (or rebooking), our cancellation policy does take effect.

All information collected during the reservation process is subject to our Privacy Policy.

Do not make any ongoing or additional travel plans until the tour is confirmed.

Deposits

Deposits are due within 10 days after confirmation of the tour. The final payment is due 90 days before the tour date.
Note, a credit/debit card is required to submit a reservation, however, the card will not be charged (unless payments are overdue). Upon official confirmation, you will be able to decide on your preferred method of payment.

If a tour is booked less than 100 days from tour date, special payment terms apply. The deposit stage is skipped and the full invoice is sent upon confirmation. See payments/final invoice below for more.

Finally, unless otherwise stated immediately upon booking a reservation, the credit/debit card that was submitted at the time of a reservation will be assumed to be the credit/debit card of record for all booking charges related to the reservation at hand.

A non-refundable administration fee of €25 ($30 if tour is priced in USD) per person is included in the tour price.

Payments/Final Invoice

Once a final invoice is prepared, the exchange rate is set. Price is fixed regardless of changing exchange rates.
For tours booked less than 100 days from tour date, final invoices are sent upon confirmation and due within 5 days. If payment is not received within 5 days, the credit card submitted will be charged the full invoice amount plus a 4% non-refundable processing fee.
For bookings made less than 45 days prior to tour start date, the credit card will be pre-authorized for the total booking amount plus a 4% credit card fee until full payment is received.
For bookings within 15 days of tour, the credit card will be pre-authorized for the total booking amount plus a 4% credit card fee at the time of booking and at time of confirmation, the card will be charged for the amount.
You are able to request a final invoice sooner than 100 days to lock in an exchange rate.

For group bookings, a separate reservation form must be submitted for each couple or individual who wishes to be billed separately.

Accepted currencies, methods of payment, & payment schedules

We accept payments in US dollars, Canadian dollars, and Euros.

Our accepted methods of payment are:

  • Credit/Debit card

    • We accept MasterCard, Visa, Discover, American Express

    • All credit/debit card transactions will incur a 4% fee

  • Personal check, bank check, money order (USD only)

    • Payable to Tripsite or Pack and Pedal Europe, Inc.

    • Sent to our headquarters: 5091 State Route 29 Springville Pa, 18844

    • All returned checks for insufficient funds or otherwise will be subject to a $30 return fee

  • CAD direct payment

    • Interac e-transfer, an account to account payment, or other email payment offered by your institution

  • Wire Transfer (Euros only)

    • All fees must be included /added to the total tour price

  • Wise (formerly Transferwise) (Euros only)

*Payment schedules by currency:

EUROS

  • Deposits required €500 per person for tours up to 10 days, and €1000 per person for longer tours

USD

  • Deposits required $500 per person for tours up to 10 days and $1000 per person for longer tours

CAD

  • Deposits required $650 per person for tours up to 10 days and $1300 per person for longer tours

A non-refundable booking fee of €25 ($30 if tour is priced in USD) per person is included in the tour price (€30 per person for luxury tours).

*A few select tours, including Luxury tours, may have different payment policies. For example, a 25% deposit of the tour price may be due upon confirmation. If this applies to your tour, it will be in writing under the Pricing information.

Cancellation policy varies per tour, please contact us for policy specific to your tour.

Cancellation of by us/our partners

If a tour is canceled by our local partner, you are entitled to a refund in the amount paid towards the tour (minus non-refundable €25/person administration fee) or you could opt to apply 100% of the funds toward another tour.

Do note, itineraries are subject to change due to unforeseen circumstances including but not limited to changing wind and weather conditions, mooring requirements, closed roads/locks, force majeure, etc. Our local partners reserve the right to make changes at will and handle these situations on a case-by-case basis.

In order to ensure maximum coverage, be sure to purchase a comprehensive travel insurance policy, for example, one that covers trip cancellation for any reason. Force Majeure

“Force majeure” means, in relation to our agency, in any circumstances beyond our reasonable control, (including, but without limitation, to acts of God, explosion, flood, forceful wind, fire or accident, war or threat of war declared or undeclared, acts of terrorism, sabotage, insurrection, riots, strikes, civil disturbance, sickness, epidemics, pandemics, quarantines, government intervention, weather conditions, defects in machinery and vehicles, delays or other unforeseeable events), we shall not be deemed to be in breach of these terms and conditions or otherwise be liable to you, and shall not provide any refund, by reason of delay in performance, or by non-performance, of any of our obligations hereunder to the extent that any such delay or non-performance is due to any force majeure. If our agency, and/or any of our travel suppliers, are affected by force majeure, they shall be entitled to, and may in their sole and absolute discretion, vary or cancel any itinerary or arrangement in relation to your trip.

Refunds

Any refunds due to cancellations and/or changes in the booking will be applied via the method of payment used during booking. (Exception: payments made by ACH in USD will be refunded via mailed USD check.)
Bank fees/credit/debit card fees may apply depending on conditions of booking and the nature of refunds. Credit/debit cards and administration fees are non-refundable.

Cancellations/changes in reservations in which any refund is due that are subject to bank/credit/debit card fees will be paid by the canceling party.

Tripsite.com and our local partners maintain the right to apply fees for changes after a booking is made.

Any change made in your reservation once submitted to us (this includes, but is not limited to any change made in names, meals, dates, bike type, room selection, any additional night(s) needed or retracted and so on) can be subject to a €25-€150 fee per change. We advise not to change an existing reservation until your airfare and pre/post-trip travel arrangements have been finalized. A few examples of change fees are as follows:

  • Tour date change: minimum of €100 per person (change fee depends on tour)

  • Participant name change: €50 per name change

  • If a group signs up together in one booking with one reservation owner and then decides to split the booking into separate individual bookings there will be a €50 per booking charge

  • Changes to arrival and departure tranfers including dates, times, locations, number people or cancellations are subject to a €25-€50 charge depending on the situation

  • Changes to extra nights dates & location are subject to €25-€50 reservation change fee

  • Bike change. While we will change your bicycle reservation once free of charge, further changes can result in €25 change fee.

The cost associated with changes and/or additions after the final invoice has been issued or within 30 days of the tour date, will be charged to the credit card given during on the reservation form (plus a 4% processing fee). Any other changes (such as those mentioned above) will automatically be added to your final invoice.

All Tours - Tour prices are based on the fuel costs at the time prices are set, often months or years in advance. In rare cases, additional fees may apply for fuel cost increases.

Bike + Boat Tours/Cruises - Pricing is based on fuel costs as from the year prior. If the fuel cost increases 5%, additional fees may apply (even for reservations already booked).

The cost associated with changes and/or additions after the final payment has been received or within 30 days of the tour date, will be charged to the credit/debit card given on the reservation form (plus a 4% non-refundable fee).

Any changes to the tour date may incur a change fee and, depending on how close to the tour date, may be treated as a cancellation.

Tripsite has the right to charge your credit card for any delinquent payments or outstanding cancellation costs. By submitting your credit card during the reservation process, you are authorizing your card to be charged for delinquent payments or outstanding cancellation costs. Your authorization is a binding agreement for us to charge your card, and as such, you waive any right to a chargeback in the case of cancellation for any cause (excepting fraud), including a force majeure event, as defined herein, and agree to refund policies and procedures as outlined in these terms and conditions. In the event a client attempts to chargeback, reverse or recollect a trip payment already made without our authorization, we reserve the right to collect all additional costs, fees, and expenses associated with such chargeback, reversal, or recollection, including, without limitation, attorney fees.

We do our best to accommodate special dietary needs. Requests for special diets must be stated in the additional comments section when submitting a reservation. Tripsite and our partners are not required to accommodate special dietary needs and reserve the right to charge a supplement on a case-by-case basis.

Our tour prices do not include travel insurance. We strongly recommend purchasing comprehensive travel insurance which includes trip cancellation/interruption coverage. You can find more information on our Trip Insurance Page.

Bicycle Protection

You can obtain bicycle protection through us at the time of booking.

Hybrid bike protection:

  • 8 days or less: €10
  • 9 to 12 days: €15
  • 13 days or more: €20

Electric bike protection:

  • 8 days or less: €20
  • 9 to 12 days: €30
  • 13 days and more: €40

Bicycle protection covers the cost of the repair or replacement of bicycle parts in case of an accident. It also protects against theft of the bike while it was locked. The key to the integral bike lock will always have to be produced in order for bicycle protection to cover the loss.

Bike Rental Agreement

The customer agrees to return the rental bicycle in UNDAMAGED condition to avoid any ADDITIONAL charges for the repair, maintenance, or replacement. If damage is incurred, this must be reported immediately. The customer accepts full responsibility for the care of the equipment while under his/her possession.

ALL accessories provided with the rental are to be returned as per the specifications set forth.

Damaged parts or components or missing accessories will be repaired/replaced and the customer agrees to pay regular shop rates and retail prices for components replaced. Please note, in order to receive compensation for costs, all bicycle protection claims must be submitted within 30 days of the last day of your tour.

If you have obtained a bicycle protection policy, this will NOT cover negligent behavior, including, but not limited to:

  • Intentional damage
  • Theft of bicycle left unattended and not securely locked
  • Theft or loss of accessories

It is your responsibility to be informed of each country/countries that you are traveling to/from entry/reentry requirements and to make sure you meet any/all requirements before the time of booking and up until your departure. Please note, these requirements can change at any time, so you must check the government website for the most up-to-date policies and requirements. It is your (the travelers) sole responsibility to make sure all documents, IDs, passports, visas, vaccines, test results, etc. are current and have enough validity required for your trip. Tripsite takes no responsibility in informing clients of entry requirements.

Photography

Many photos on the website (www.tripsite.com) fall under the creative commons license. We make every effort to credit the photographer required by this license. To that extent, requests for removal can be sent to info@trispite.com and will be processed as soon as possible.

Privacy Policy + Collecting Info

All information collected during the reservation process and interactions via our website, (cookies), email, social accounts, etc. is subject to our privacy policy. Full details outlined in our privacy policy can be viewed here.

In order to make the most of your trip, we have outlined a set of standards that we also follow when traveling. By submitting a reservation with us, you certify your agreement to the following Tripsite Traveler code:

  • I have read all the materials, tour details, and requirements

  • I have chosen a tour that is appropriate according to my abilities, state of health, and fitness level

  • I have a valid passport and up to date travel documents needed to travel legally

  • I will respect the laws and customs of the countries I am visiting

  • I understand that traveling with a group sometimes involves compromises to accommodate all travelers needs

  • I understand that weather is an uncontrollable variable

  • I will always follow local travel traffic laws and safety laws on and off the bike

  • I will do my very best to be a responsible steward of the environment

COVID-19 is believed to be spread by person-to-person and/or surface contact. It is possible that someone, for example, another participant, a tour guide, or other third party could have COVID-19 but not show symptoms. Further, participating in activities offered by the local tour company or using any of its equipment or property may expose or infect you or any minor in my custody or case. Risks relating to COVID-19, including contracting the virus, may result in immediate disruption of your trip, and as a Tripsite traveler you must assume those risks including canncellation fees.

Pack & Pedal Europe, Inc. (DBA Tripsite.com) its employees, shareholders, subsidiaries, affiliates, officers, directors, successors, agents, and assigns does not own or operate any entity which provides or is to provide, goods or services for your trip, including, for example, lodging facilities, transportation companies, food service providers, equipment suppliers, etc.

Tripsite.com’s responsibility is strictly limited. Tripsite.com is not responsible for the acts or failures to act, willfully or otherwise, of its suppliers, or of any other third party over whom Tripsite.com has no control. As a travel agent, Tripsite.com promotes, organizes, and sells tours, which consist of surface transportation, excursions, and accommodations that Tripsite.com purchases or obtains from suppliers, who are themselves independent contractors separate from Tripsite.com.

Tripsite.com is not liable for any bodily injury or harm, accidents, property damage, or personal loss as a result of, but not limited to: physical exertion for which the participant was not prepared; travel by plane, train car, bus, boat, or other modes of transportation (such as bicycle, horse, foot, kayak, etc.); consumption of alcoholic beverages; high altitude; forces of nature, such as high winds, hurricanes, flooding, etc.; heat exhaustion, equipment failure; civil unrest or terrorism; or the availability of medical services in remote areas and the quality thereof. Tripsite.com is also not liable for: expenses (e.g. meals, transportation, hotel costs) that are not specified as included in the price of the trip but may be required to get to/from a starting or ending point. Tripsite.com reserves the right to make hotel and/or route alterations in order to improve the quality of a trip or better accommodate its guests.

Electronics - Tripsite.com is in no way ever responsible for damage to personal electronics incurred on your vacation. This includes but is not limited to water damage, bike accidents, loss, and theft.

Tripsite.com is not responsible for expenses incurred by guests in preparing for the tour (e.g. non-refundable advance purchase of air tickets, equipment, travel insurance, etc.) or for any additional travel arrangements made on your own.

Accuracy of information: We rely on our personal knowledge, first-hand experiences, as well as information provided by our local partners. We strive to present all tour details in a clear and informative way and keep all information up to date. We make an effort to correct inaccuracies on our site, however, we accept no responsibility for errors on the tour pages.

Knowing and voluntary execution

I have carefully read and fully understand the contents and legal ramifications of this Limitation of Liability Statement and Assumption of All Risks and Release of Liability Agreement, and all other materials provided to me concerning my trip, including, but not limited to, those regarding cancellation and refund policies. I understand that if I must cancel my reservation, the cancellation fee will be applied in accordance with the rates outlined above. I (the client) agree to not initiate a chargeback (unless it is a case of actual fraud), and understand that Tripsite.com will be entitled to pursue me (the client) for costs and losses if I use a chargeback as a ruse for getting a refund.
